SAMPLE APPROVAL GUIDE

Review Your Jewelry Samples Before Production

Check dimensions, finish, fit and function against your agreed specifications. Record changes clearly and confirm the exact sample version before moving forward.

Know What You Are Approving

Different review stages confirm different details. State the approval scope so everyone understands what has—and has not—been confirmed.

Design & Drawing Review

Confirm the design, dimensions, component positions and intended construction. Drawings do not confirm the final surface finish or wearing feel.

Prototype Review

Check the features the prototype was made to demonstrate. Confirm whether its material, weight, color and function represent the intended finished product.

Final Sample Review

Review the finished sample against the agreed specifications, record any remaining issues and identify the version proposed as the production reference.

Approving one detail does not approve the whole product. If you are confirming only the shape, size or color, state that clearly.

A full-size paper outline can help you assess visual scale before tooling. A finished sample is still needed to review the actual material, weight, finish and function.

What to Check Before Approving a Sample

Keep the latest specification sheet, drawings and agreed references beside your sample. Record each result as Meets Specification, Needs Revision, Not Checked or Not Applicable.

Sample Identity

Confirm the design code, sample version, color and size. Make sure you are reviewing the latest sample against the correct documents.

Dimensions & Weight

Measure the agreed dimensions and record the weight where specified. Use the agreed measurement method and tolerances.

Shape, Fit & Comfort

Review proportions, symmetry, edge smoothness and fit. Check whether the product sits and moves as intended.

Color & Surface Finish

Compare the sample with the agreed physical finish reference under consistent lighting. Review polishing, texture and visible surface marks.

Function & Assembly

Check closures, hinges, connections and moving parts using the agreed procedure. Record looseness, gaps, misalignment or difficulty operating the product.

Decorative Components

Review Crystal, CZ, pearls, natural stones, resin and other details for position, matching and visible assembly quality.

Logo & Artwork

Confirm spelling, orientation, placement and size against the approved artwork. Check legibility on the actual product.

Packaging & Documentation

Review empaque. fit and artwork where included in the sample scope. Confirm the status of any required material or performance documents

Use agreed acceptance criteria. Dimensions, color variation and functional requirements should be confirmed for your project rather than assumed.

Visual approval has limits. Appearance alone does not verify material grade, coating thickness or test performance. Review the relevant documentation or agreed tests separately.

Focus on the Details That Matter for Your Product

Product Categories Key inspection points
Confirm the stated length, whether the clasp is included, extender length, charm orientation and connection compatibility.
Check pair matching, post alignment, closure operation, component weight and the intended wearing position.
Anillos & Cuffs
Confirm the sizing system, internal dimensions, edge comfort and any agreed adjustment range.
Review pin or prong alignment, backing operation, attachment security and potential snagging points.
Check pair matching, hinge or swivel operation, alignment and fit on the intended fabric.

Compare Finishes Against an Agreed Reference

Review the sample and physical finish reference together under consistent lighting. Record the reference ID and the finish you are confirming.

Photos are useful for discussion, but lighting, camera settings and screens can change how a color appears. Identify any color decision that still requires physical confirmation.

Send Clear, Actionable Sample Feedback

Put your comments in one revision list. Identify the sample version, show the issue and describe the requested result.

Example only — dimensions and requirements are project-specific.

Sample / Item Sample / Item Requested Action Evidence
N001 / V02 — Chain Length
The chain measures 450 mm including the clasp. The current specification requires 420 mm.
Revise to the specified length and provide a new measurement record.

N001 / V02 — Finish
The sample appears warmer than physical reference F02 under the same lighting.
Review the finish against F02 and provide a revised sample for confirmation.

N001 / V02 — Logo
The logo orientation differs from artwork revision A03.
Follow A03 and send a close-up for review.

Replace comments such as “make it better” with a specific location, reference and requested change.

Record a Clear Review Decision

status description Next step
Approved as Production Reference
The identified sample and document versions are accepted within the stated scope, with no unresolved items in that scope.
Record the scope of approval and separately confirm the conditions for production release
Revision Required
Changes are needed before the sample can be accepted.
Issue a list of revisions and agree upon a review process.
On Hold
A decision is pending further information, testing or internal review.
List the to-do items and the people responsible for them.

Sample approval and production release are separate confirmations. Confirm the order details and applicable production requirements before manufacturing begins.

Keep a Clear Production Reference

Keep the approved sample linked to the latest specifications, drawings and finish references. Agree which physical sample will be retained and how it will be identified.

Any later change to the material, structure, finish or other approved requirement should be reviewed and recorded before it is applied.

Preguntas frecuentes

Can I approve a sample from photos or videos?

Photos and videos can support reviews of visible details. Fit, comfort, weight, tactile finish and some functions may require a physical sample. State the limits of any remote approval.

Record that as a partial review and list the remaining items. Do not describe the whole sample as approved while other requirements are unresolved.

Send one consolidated revision list with the sample ID and supporting images. Confirm the changes, any cost or timing impact, and how the revised sample will be reviewed.

No. The approved sample provides a reference. Production and final inspection are still needed to check the goods against the agreed requirements.
